This Privacy Policy explains how Synviotech LLC ("Synviotech," "we," "us," or "our") collects, uses, shares, and protects personal information. Synviotech LLC is a Florida limited liability company (Florida Document Number L26000295251) headquartered in Pembroke Pines, Florida. Synviotech LLC is part of the Ngako Solutions family of companies.
Synviotech provides an AI receptionist service for small and mid-sized businesses. Our service handles inbound phone calls, books appointments, captures lead information, and sends follow-up messages. This Privacy Policy applies to data we collect from three groups: (1) visitors to our website, (2) business customers who subscribe to our service, and (3) end-callers whose calls are handled by our AI on behalf of those businesses.
1. Information we collect
From website visitors
- IP address, browser type, device type, referring URL, and pages viewed
- Information you submit through forms (name, email, phone, company)
- Cookie and analytics data — see our Cookie Policy for details
From business customers
- Account information (name, business name, email, phone, billing address)
- Payment information (processed by our payment provider; we do not store full card numbers)
- Service configuration (your business hours, services, scripts, transfer rules)
- Usage data (call volume, minutes consumed, dashboard activity)
From end-callers (the people calling your business)
- Phone number (caller ID)
- Voice recordings of the call, where applicable disclosure has been made
- Transcripts of the call generated by speech-to-text
- Information the caller provides during the conversation (name, address, reason for call, appointment time)
2. How we use information
- To provide, operate, and improve the Synviotech service
- To process billing and send service notifications
- To deliver call recordings, transcripts, and summary emails to the business customer
- To send service-related messages and, with consent, marketing communications
- To detect, prevent, and address technical issues, fraud, and abuse
- To comply with legal obligations
We do not sell personal information. We do not use customer call data or end-caller data to train external AI models that benefit other customers without an opt-in agreement.
3. How we share information
We share information only with the following categories of recipients:
- Subprocessors that power the service — including telephony providers (Twilio, LeadConnector), CRM/automation infrastructure (GoHighLevel), payment processors (Stripe), email delivery providers, and cloud hosting providers. Each is bound by data-processing terms.
- Business customers receive the data their AI receptionist collects on their behalf (caller information, transcripts, summaries) — that is the purpose of the service.
- Law enforcement or regulators if required by valid legal process.
- In a corporate transaction (merger, acquisition, sale of assets) — with notice to affected users.
4. Call recording disclosure
Many U.S. states (and certain other jurisdictions) require disclosure or consent before a phone call is recorded. The Synviotech AI is configured to play a recording disclosure at the beginning of every call by default. Business customers are responsible for selecting the disclosure language appropriate for their jurisdiction and for honoring caller opt-outs.
5. Data retention
- Account information: kept for the life of the account and 12 months after termination, then deleted on request.
- Call recordings and transcripts: stored for the term of the customer's plan; available for export for 30 days after cancellation, then deleted.
- Billing records: kept for 7 years to comply with tax and accounting requirements.
- Anonymized usage analytics: kept indefinitely.
6. Your rights
Depending on your jurisdiction (notably California, Virginia, Colorado, Connecticut, Utah residents; and individuals subject to the GDPR), you may have the right to access, correct, delete, or restrict processing of your personal information; the right to data portability; and the right to opt out of certain processing. End-callers whose calls are handled by a Synviotech business customer should direct requests first to that business, which is the data controller for those calls.
7. Children
The Synviotech service is not directed to anyone under 16. We do not knowingly collect personal information from children. If you believe we have, contact us and we will delete it.
8. Security
We use industry-standard safeguards including encryption in transit (TLS) and at rest, role-based access controls, and audit logging. No system is perfectly secure; if we become aware of a breach affecting your personal information we will notify you as required by law.
9. International transfers
Synviotech is operated from the United States. If you access the service from outside the U.S., your information will be transferred to and processed in the U.S.
10. Changes to this Policy
We may update this Privacy Policy. Material changes will be communicated by email to customers and posted on this page with a new "Last updated" date.
